Why use a fax cover sheet
Fax cover sheet is something like an envelope for your fax message. It does not protect your message the way an envelope does, but it does provide all the necessary information about your message, on a single page. Professionally made cover sheet is somewhat of being polite to your recipient: whoever receives the fax won’t have to waste time scanning through your fax wandering whom it is for and what to do with it.
There are no specific rules on how to create a fax cover sheet, there are no rules on what should be included. Your main objective here is to organize information in a way that makes it easy to process your fax. This is especially important if you are sending the fax to a large company with many employees; to ensure that your fax goes to the right person make sure to write who the fax is for.
Other fields you might want to include are recipient’s fax number, your fax number (in case recipient wants to reply by fax), date, and the number of pages. You might want to include a field indicating the priority of your fax (urgent, high priority, normal, etc.) and the action to be taken (for example, for review only, please reply, etc.) Once you have sent the fax, you may want to call the recipient and check if he or she has received everything but this is optional.
