Formal business conversations are carried out through various communication mediums such as telephones, emails and fax machines. Formal exchange of information is highly essential in organizations and the use of fax machines is quite frequent and prominent. In a business setup it is quite difficult to go through detailed documents and files for every piece of information that flows into the organizations.

Design and structure
This fax cover sheet is divided into three main sections. The first section deals with the basic information that is required to be filled in by sender before sending a fax of any nature. The basic information includes the date of the document and the person to whom the document is addressed. The contact details of the sender are also a part of this section. The contact details include the phone number and fax number.
The second part addresses the details of the sender. In this portion the sender needs to specify their telephone number and fax number. A very useful part of the second portion is the five options written along with mini boxes to tick. These five options are

- Please recycle
These options ensure that recipient knows what it is you expect him or her to do about your letter.
The last part to fill out is the number of copies including the cover. This specifies that how many pages one is going to receive.
