Do you need a Cover Letter?

You might be wondering if a cover letter is really necessary. As a professional, the cover letter should never be treated as optional. According to Monster.com, the only time you should omit the cover letter is when you’re specifically asked not to include one. Otherwise, you’ll want to include a tailored cover letter to leverage every possible advantage in a competitive job market.

While a resume shows your experience as a professional, it may not convey how your skills could be a good match for the position you are applying for. The main purpose of cover letter is to make connections. For this reason, the cover letter should not just summarize the resume, it should supply an explicit understanding of how your professional experience makes you a prime candidate.

Hiring managers will read your cover letter to see if you tailored it to the job at hand.

Deborah Collins of the Ford Foundation says:

The rest of this guide is structured in a workshop format. You can use the following steps to build an effective cover letter from top to bottom, or work on one section of an existing letter.

The Heading

The basic format of a cover letter should follow traditional business letter format. A heading should be at the very top of the page; center-aligned often works best. The heading should display: your contact information, the date, and employer address.

If you already have a resume, copy the heading from your resume directly onto the cover letter. This ensures uniformity within your two documents.

Your Contact Information

Your Name

Be sure to include your middle initial if you have one, so that you are less likely to be confused with another professional in your field with a similar name.

If everyone knows you by a middle name or nickname, provide that name in quotes or parentheses between your first name and last name: Katie “Kay” Clark. Additionally, list any professional credentials (M.D., CPA, Ph.D.) that are integral to the job.

Email Address

Use a professional email address that is based around your name. This is not the time to use an email address that shows your wild side or your questionably inappropriate college nickname.

Telephone Number

Include the number where you are most easily reached. This is likely your cell phone number. If you are including your phone number on professional correspondence, be sure your voicemail recording does not contain jokes or sarcastic remarks. Use a generic neutral greeting as this is what employers will hear if you do not answer.

Mailing Address

Mailing Address is not always required. There are some points to consider when it comes to deciding to include a mailing address or not:

You might want to include your mailing address if:

  • You want to show an employer you are nearby, geographically, and would not need to relocate to take the position
  • You are applying to a federal position, which typically requires a full address
  • You are applying directly to a specific hiring manager, in which case there is no reason to exclude it

You might want to omit your mailing address if:

  • You are concerned about identity theft or other privacy issues
  • You are submitting your resume on job boards and are unsure of who is seeing your application
  • You do not presently live close to the position but are willing to relocate and take care of the expense involved

Date

Position

While there is nothing wrong with placing the date at the very top of your cover letter, it is best to follow the format of a business letter. This means the heading comes at the top, followed by the date. Keep two empty lines between the heading and the date (if you are pressed for space later, you can cut this down to one line of space).

Format

Use the long date format – this means you write the full date, including spelling out of the month, the day, and the year written with four digits.

Employer Address

Although job applications are most often completed online, it is still a good idea to include the employer address if you can find one. Tailoring a formal letter, complete with an employer address, implicitly demonstrates your ability to be cordial, professional, and precise. Also, adding an employer address is one more detail that shows you are interested in that company specifically.

Press enter twice to add two lines of space after the date. This is where you will enter the employer address.

Cover Letter Heading Examples

Examples:

The Introduction

This section is where you introduce yourself, and grasp the hiring manager’s attention. Why are you writing the cover letter? What sets you apart?

Greeting and Salutation

Who are you writing to?

The greeting of a cover letter sets the tone immediately, and should be personalized whenever possible. When you personalize the greeting, you demonstrate to the potential employer that you are seeking their company out specifically.

Who to address cover letter to? Look at the job ad you are responding to and see if you can find a contact. If you are unable to find one, consider doing a bit of sleuthing online to find the appropriate person to address the letter to.

You have a name

If you have a contact from the ad or from searching online, use that name in your greeting. Using the adjective “Dear” is always a safe and appropriate choice. Then, ensure you include the person’s last name with their appropriate title, if known.

Examples:

If the person is a doctor:
“Dear Dr. Jameson,”
If the person is a judge:
“Dear Judge Colby,”
If the person is a professor:
“Dear Professor Smyth,”
If the contact is female:
“Dear Ms. Geraldo,”
If the contact is male:
“Dear Mr. Estacion”
If the gender of the individual is unknown:
“Dear Mr./Ms. Johnson,”

You don’t have a name

If you absolutely cannot find a contact for the position, use a more generic business greeting. According to a recent survey, “Dear Hiring Manager” and “To whom it may concern” are the top two preferred greetings when you have no name to which you can address the letter:

The Opening

Who are you?

How to begin a cover letter? The first sentence should include your name. Even if the recruiter skims the rest of the cover letter, at least your name will be in the first sentence, reiterated from the heading. This provides you with the best chance that the hiring manager will make the connection between you as a person and the skills picked up by skimming the rest of what you have written.

Examples:

If this is one of your first jobs:
“My name is Jane Blythe.”
If you wish to include your present job title because it is impressive in your industry:
“My name is Jane Blythe and I am presently a Senior Marketing Manager at CMM Marketing Solutions.”
If you met the recruiter in person at a job fair or similar event, and wish to remind them:
“My name is Rodney Westerly. We spoke at the Boston, MA job fair on February 12th.”
If you wish to include a particularly noteworthy qualification that is aligned with the job you are applying to:
“My name is Sally Fay and I am a licensed social worker in the state of Massachusetts (LICSW).

If you wish to omit your name purposely, you can begin your cover letter with The Purpose section.

The Purpose

Why are you writing?

Go back to the job ad and ensure that you have the job title correct. This section is meant to demonstrate to the hiring manager that you’ve done your research and are clear on what type of position you are applying for (if you have that information).

Examples:

If you are clear on the position title:
“I am writing today to express my interest in the Scheduling Manager position.”
“I would like to express my interest in the Scheduling Manager vacancy.”
If you are clear on the position title and the ad has asked you to mention where you saw the listing:
“I am writing today to express my interest in the Special Education Aide position listed on SchoolSpring.com.”
If you have a company contact:
“I have discussed the vacant Analyst position with Margaret Styx recently, and wish to express my interest in learning more about the opening.”
If there isn’t a vacancy and you are expressing an interest in a future opening:
“I am writing to express my interest in any sales openings that might be arising in the near future.”
If you are only aware of openings in a certain department and do not have a job title:
“I am writing to express my interest in the vacancy in the operations department.”
If you are only aware of openings in a certain department, do not have a job title, but learned of the openings in a specific location:
“I am writing to express my interest in the vacancy in the client services department, which I learned about on the Indeed.com job board.”

The Grab

What is one thing that makes you a great fit for this position?

What is one aspect of the job ad that is most closely aligned with your current experience? This could be an educational credential, a certification, an achievement, or a former/current job title.

In this section, it is important to demonstrate to the hiring manager that you are clear on what the position entails as well as which of your skills will be most transferrable and related to the position.

Examples:

  • “I find this position to be particularly aligned with my professional qualifications, especially since you are seeking a manager with over five years of experience.
  • “This position is closely aligned with my professional qualifications, as I have significant experience in early childhood education focusing on special needs.
  • “I am uniquely qualified for the position as I have extensive experience in operations management at an environmental services company.

Cover Letter Introduction Examples

Introduction section should be short and digestible, 3 or 4 sentences.

Examples:

  • My name is Jane Eyre and I am presently an Operations Manager at Sevenfold, Inc. I am writing today to express my interest in the vacant Senior Operations Manager position, as my professional qualifications are closely aligned with it. I have significant experience in purchasing, as well as developing supply chains for manufacturing.
  • My name is Janice Thompson. I have discussed the part-time Special Ed. Assistant position with Dr. Brandt recently, and wish to express my interest in learning more about the opening. I find this position to be particularly aligned with my professional qualifications, especially since you are seeking someone with 3-5 years of experience and I have worked in a classroom setting for over 6 years.
  • My name is Lyla Hunt. We spoke at the BBGH job fair on September 27th and I am writing to express my interest in the full-time administrative opening. I am uniquely qualified for an administration position since I have extensive experience with both medical office management and executive assisting.

BONUS: As an alternative to the standard cover letter opener, if you feel comfortable getting creative, consider a nontraditional, story-based opener as described by The Muse. The following example is a re-working of the last traditional paragraph above:

  • When I was young, and all the other little girls wanted Easy-Bake Ovens, I asked my parents for a desk so I could pretend to organize my papers and answer important phone calls. Along with my significant experience in executive assisting, it was for this reason that I was particularly excited when I spoke with you at the BBGH job fair on September 27th and learned about your full-time administrative opening.

The Argument

In this section you discuss your professional qualifications in a more in-depth way, and explain what you have to offer the employer. Think of specific accomplishments, experience and background, skills and competences relevant to the job description. Why you and not other candidates? What makes you better?

Do not repeat what is already on your resume. You can:

Show how you fulfill the job requirements

For this section, you can use either a short paragraph or a short bulleted list. While there are no rules as to which approach is better (it’s a matter of preference and style), consider the following:

  • If you have a hunch the person reading the cover letter is going to be rushing, consider a bulleted list, so they don’t gloss over your professional accomplishments.
  • If you feel stretched for noteworthy professional items, consider a paragraph format, where you might be able to describe fewer professional achievements in more detail.

The paragraph method

Current Position Status

If you are presently a working professional, begin by stating your current status. (If you have no experience or are seeking a position within a new industry, simply exclude this line.)

Examples:

If you wish to indicate the company you presently work at in order to highlight it:
“Currently, I am a Branch Manager at TD Bank.”
If you wish to highlight your job title:
“Currently, I am a Branch Manager for a large Boston-area bank.”
“At present, I work as a Branch Manager.”
If your position is not explicitly clear from your job title:
“I am primarily responsible for hiring and overseeing all branch employees, their scheduling and training, as well as complying with appropriate federal laws, and ensuring that rigorous, corporate customer service goals are met each month.”
“This position requires me to hire and oversee all branch employees, schedule all staff for proper coverage, train new and advancing employees, comply with appropriate federal laws, and ensure that rigorous, corporate customer service goals are met each month.”
“Within this position, I am primarily responsible for the day-to-day operations of the branch as well as meeting the rigorous customer service goals set by our corporate office.”

Professional Accomplishments

The purpose of this section is to communicate your professional accomplishments. Examples below use quantifiable achievements and responsibilities. Include numbers and specifics that will give another person a very clear picture of your achievements.

If you have omitted the Current Position Status (as a new professional without experience or one that is shifting industries), boost your desirability as a potential employee by looking to previous academic or professional accomplishments as well as skills.

Examples:

If you want to highlight your management experience:
“In total, I manage 14 employees within 4 departments.”

If you need to further explain what type of position:
“My position can best be defined as a District Manager with significant store management responsibility in the flagship location.”
If you want to showcase a relevant academic achievement:
“I was the recipient of the Booker T. Washington Scholarship, which is granted to all graduate students with over a 3.95 GPA.”
If you are describing a territory that demonstrates you can handle a significant sales radius:
“I handle a 15-mile radius of sales territory in my district.”
If you are an educator and wish to show the significant teaching course-load that you are able to handle:
“I teach 15 credits of college English courses to more than 120 students each semester.”
If you want to indicate a degree that is relevant to the position you are applying to:
“Also, I hold an M.S. in Forensic Science”
If you want to indicate a certification that would make you more marketable for the position:
“Finally, I have Massachusetts English Teacher Licensure for grades 5-8 and 9-12.”
If you are describing a dollar amount within your achievement that shows you can make a significant amount of sales on a monthly basis:
“My monthly sales average is 2 million dollars of residential real estate.”
If you are describing a dollar amount that you feel would be noteworthy:
“I also single-handedly increased sales by $40,000 to $50,000 in each of my last three sales positions.”
If you wish to list a publication that demonstrates your scholarly work in your field:
“I am proud to have also published a paper in 2016 in ‘The Philosophical Quarterly’ entitled ‘The Problem of Ethics’.
If you wish to showcase your language skills because the customer base at the company to which you are applying is likely to speak a different language:
“Finally, I am fluent in three languages: Arabic, French, and English.”
If you wish to indicate specialized computer skills that an IT job is seeking:
“I am able to code in SQL, C#, Java, C++, and Python.”
If you wish to show how you saved your company money, thereby demonstrating your efficiency:

Middle Section – Paragraph Method Examples

  • My position can best be defined as a District Manager at Talbots with significant store management responsibilities at the flagship location. In 2015, my stores benefited from a 45% monthly increase in sales. As a final note, I streamlined our stores’ annual Black Friday scheduling difficulties, resulting in 20k reduction in holiday returns.
  • I teach 15 credits of college English courses to more than 120 students each semester. Also, I hold a Ph.D. in Anthropology from Harvard University. In addition, I have Massachusetts English Teacher Licensure for grades 5-8 and 9-12. Lastly, I am fluent in Spanish and English.
  • Currently, I am a Supply Chain Supervisor, and am primarily responsible for sourcing raw materials from our company’s suppliers, maintaining relationships with suppliers in order to ensure smooth ordering, and making recommendations to continually improve our process. I am also the proud recipient of our company’s 2014 NSPE Distinguished Service Award. As a final note, I streamlined our company’s supply chain process, resulting in a savings of over $400,000 in three years.

In order to properly frame a bullet list, add one line to indicate what the list will contain:

The Closing

This closing is simply the end of your cover letter. This section is used to suggest next steps, provide additional documents, indicate your interest, and thank the hiring manager.

Enclosure

Do you have a resume, transcript, portfolio piece, photo, or other job-specific document that you believe would highlight your application within your industry?

If you are including a resume, you will want to state that your resume is enclosed with your application.

Examples:

  • “Enclosed, you will find my resume, which provides more information on my education, qualifications, and experience.”
  • “The attached resume provides a further account of my professional history.”
  • “Please also find my resume attached to this application.”

If you are in artistic field where a photo, or a portfolio is expected:

  • “Also, please see the following link for a sampling of my professional work: tmhdesigns.me”
  • “Lastly, my professional headshot is attached.”

Call to Action

Do you hope to gain an interview, receive confirmation of your application, or speak with the hiring manager on the phone? You expectations should be made clear; you want to encourage the recruiter to follow up with you in some way or another, mostly to gain an interview.

Examples:

  • “I hope that you will grant me the opportunity for an interview, so that I may further convey the benefits I can bring to your organization.”
  • “I would like to ask you for the opportunity for an interview, so that I can explain how I would improve your organization.”
  • “Please confirm that you have received this application.”
  • “Please contact me for additional information.”
  • “Please contact me so that we can discuss how I may bring my talents and abilities to this position.”

Contact information

How would you like to be contacted? Include your phone #, email, or other contact information.

Examples:

  • “Please find my contact information below. I can be reached by telephone or email.”
  • “My contact information is listed below. I can be reached by telephone or email.”
  • “Please feel free to contact me at the phone number below.”
  • “My contact number is below.”

Indicate Your Interest

Next, include a line that conveys your enthusiasm for the position. This sentence demonstrates that you are particularly interested in the position at hand and are seeking a reply. Additionally, this is a formality in the letter that helps to transition you to the “thank you” line.

Examples:

  • “I look forward to your reply.”
  • “I await your reply.”
  • “I look forward to hearing from you.”
  • “I look forward to hearing from you in the near future.”

Thank you

Conclude this section with a thank you. With this line, you convey your gratitude for the hiring manager’s time and you leave the letter with a professional and polite tone.

Examples:

  • “Thank you in advance for your time and consideration.”
  • “Thank you for your time and attention.”
  • “Thank you for your time.”
  • “Thank you for your consideration.”

Exit the Letter

Exit lines are short, and come right before your name, and leave the reader with a final sense of your personality and the tone with which you are addressing them. While you can’t go wrong with any of these choices, consider which situation suits you best.

Examples:

If you would like a neutral, safe choice for any letter in any industry:
“Sincerely,”
If you are in a more formal field like medicine, law, or higher education, other options include:
“Kind regards,”
“Regards,”
If you are addressing a recruiter directly and wish to communicate how grateful you are for this potential opportunity:
“Gratefully,”
“With gratitude,”
If you are writing to someone who has a higher rank than you in your field and wish to communicate the utmost respect and/or sincerity:
“Respectfully,”
“Most sincerely,”

Finally, under your exit, place your full name and contact information.
